Then maybe you are the one we are looking for!At the Department of Clinical Medicine, we are busy with both the day-to-day operations and various development tasks, and we are therefore expanding our secretariat and are looking for an employee starting on 1 June 2025 or soon after. The position is a permanent full-time position. Institute of Clinical Medicine As an employee at the Institute of Clinical Medicine, you will be part of what is probably the largest health science research institute in Denmark. The clinical research covers all the medical specialties and takes place in collaboration with the university hospital and the regional hospitals in the Central Jutland region. We have approx. 30,000 m2 of modern research facilities for experimental surgery and medicine, animal facilities and advanced scanners. The institute has overall responsibility for the master's programs in medicine and in molecular medicine. At the institute, we are approx. 670 scientific employees, 500 PhD students and 160 technical/administrative employees who collaborate across disciplines. You can read more about the department here and about the faculty here.Your tasks You will be part of a well-functioning secretariat at the Department of Clinical Medicine, where we work closely together, and you will have 9 skilled and committed colleagues with different backgrounds and skills. Everyone is dedicated to solving their tasks in a positive working environment, where helping each other is highly valued. We are an outgoing secretariat with many partners internally at the university and externally at the university hospital, the regional hospitals and other public and private organisations. Your tasks will primarily consist of the following, but also depend on your skills: Support and advice to the department management, including meeting preparation, minutes/notes, follow-up on decisions, sparring on various matters etc. Financial tasks, including preparation of various agreements, approval in the invoicing system, etc. If you are strong in the financial area, other financial tasks may also become relevant Hiring of scientific staff or administrative-technical staff, including contact with the professional environments and the HR department, handling of cases in AU's recruitment system, support for salary negotiations, etc. the tasks must be able to change hands, so that tasks and the secretariat's employees constantly develop. Flexibility, openness and the courage to learn new things are therefore a prerequisite for thriving in our secretariat. You refer to secretariat manager Maria Bøndergaard Røjkjær. Your competences We imagine that you have a relevant academic education possibly supplemented with administrative experience, but we are also open to the fact that you can be newly qualified. Experience with the Office package and especially Excel or Google sheet tools is an advantage, but not a prerequisite for applying for the position. We work in many different systems (IndFak, MitHR, EmplyHire, Workzone etc.), so it is a prerequisite that you have a digital mindset, just as you must be able to thrive in the fact that a large part of the tasks are ongoing operational tasks. In the secretariat, we have a very wide contact surface, and it is important that both our employees and business partners are met in a positive and welcoming way. You manage to keep an overview of a diverse portfolio of tasks and at the same time work in a structured way. We expect you to be responsible, and we attach great importance to you working proactively and willingly taking the initiative for improvements and streamlining in the institute secretariat if you spot an area with room for improvement. You have good communication skills both in writing and orally in Danish and English, and you can convey complex issues in a precise and balanced way.
