Are you ready to become part of a dynamic and close-knit secretarial team that plays a key role in organizing and coordinating meetings and activities for our board members and principal? If you are structured, a team player and have a keen eye for detail, then maybe you are what we are looking for. The Management and Communications Secretariat has an absolutely central role in the realization of this ambition, and as management secretary you will therefore help to support and optimize the secretariat's work so that we best support the entire executive board. About the job You will be involved in close collaboration with your four colleagues in the secretarial team as well as a management consultant. The support for the members of the executive board is organized with a consultant and a secretary, who together form a staff for each member of the executive board. Your primary task will be calendar management by the dean for the Faculty of Education and Social Sciences' many meetings and activities. In this connection, you must collaborate with colleagues both in the department and throughout KP as well as external partners, which can be ministries, municipalities, organisations, working groups, councils and boards. Among your other tasks will be the preparation of meeting materials for the dean's weekly boss meetings, planning events either internally at KP or with external partners as well as ordering transport and meeting catering and registration for conferences/seminars. There will also be cross-cutting tasks for the Management and Communications Secretariat, such as the practical organization of training reviews, support for recruitment processes and updating KP's organizational charts. Other tasks include handling travel settlements, fees and hourly remuneration, accounting of invoices, journaling as well as various administrative ad hoc tasks such as proofreading tasks and answering KP's main mailbox. About you You have a relevant education such as e.g. professional bachelor in public administration, office training and/or has experience in secretarial service for an executive board. In addition, we imagine that you: have experience from work in a large, politically led organization and preferably within the education sector have solid experience with the Office package are strong in Danish language and grammar and comfortable with written and spoken English have experience with IT administrative systems such as RejsUd, Statens Digitale Indkøb (SDI), Emply and the like. - alternatively, that you are good at familiarizing yourself with new IT administrative systems. Your workplace As an employee in the Management and Communications Secretariat, you will be part of a committed working community. Our most important tasks are to: ensure efficient service of the principal, executive board and KP's board coordinate strategy development and follow-up and organize reliable internal and external communication with an eye to the target groups, i.a. with a view to recruiting for the courses, contributing to management and organizational development and including quality development of the courses, supporting the implementation of decisions and flexible follow-up, contributing to KP distinguishing itself externally and having inclusive cooperation between students, employees and managers internally. We are 36 employees in the entire Management and Communications Secretariat divided into a communication unit with 17 employees, a quality and analysis unit with four employees and a unit with consultants and secretaries with 15 employees. You will be part of an office community with the four other management secretaries. You report to the head of the secretariat. Salary and terms of employment You will be employed as a management secretary starting on 1 June 2025. The working hours are 37 hours per week. Employment takes place in accordance with the organizational agreement between HK/State and the Ministry of Finance and the collective agreement OAO.
