Assistant Project Manager
Position Summary:
Provides expertise and support for monitoring project progress and executing processes initiated by the Project Manager. He is responsible for the coordination of activities, resources and parties involved in the project in cooperation with the Project Manager, strictly implementing the requirements of quality, budget and safety at work. In performing these tasks he manages, coordinates, monitors, organizes and reports all the processes initiated by the Project Manager so that the project achieves strategic objectives, successful results and exceeds the client's expectations.
Main Duties and Responsibilities:
Executes and monitors the progress of the project processes in order to achieve the strategic objectives by rigorously applying the budget requirements, time requirements and quality standards;
Collaborates with the Project Manager to understand project requirements, objectives, materials needed and to report the progress of processes;
Monitors the achievement of objectives, design processes, opposition processes, act-controls of works, the progress of works and the processes of preparing legal documentation for the closing of works by keeping correspondence and documenting in writing all the information collected;
Prepares periodic reports in a standardized format, regarding the progress of the projects by conducting site visits according to an approved frequency and schedule;
Prepares the draft of official documents with the development parties, owner parties, etc.;
Supports the preparation of various technical-legal files for project processes
Support the preparation of invoices/penalties for the parties
Supports the process of preparing documentation for approval, use permit or mortgage;
Cooperates with the companies and other departments involved in the process, for technical follow-up of the projects (this task can be done on a case-by-case basis by using external experts when the need or expertise requires it);
Cares that the quality of the works is according to the appropriate standards (compliance with the conditions and approved technical specifications) by periodically supervising and controlling their progress in accordance with the company's standards and the technical conditions of implementation by conducting periodic audits;
Makes evidence of problems on the construction site and proposes changes to the Project Manager;
Supports the preparation of work schedules and monitors the realization within the established deadlines;
Monitors the project from handover to delivery of ownership certificates and signing of sales contracts;
Monitors contractual relations with land owners against claims or demands they may have against investors
Assists in the preparation and management of the project budget in necessary cases;
Monitors the implementation of the project according to the Business Plan and updates it;
Monitors and documents issues with clients for any blockage of the process until its finalization;
Ensures documentation of all phases of the project. Prepares short-term plans depending on the progress of the project;
Interacts with the involved parties to maximize the value of the assets benefited from the projects;
Continually looks for opportunities for process improvement, increased innovation and cost optimization to increase project quality and customer satisfaction;
Other duties assigned by the supervisor.
Education: Possess a university degree in Architecture / Civil Engineering / Hydrotechnical Engineering / Management
Other qualifications:
Have at least 2 years of work experience in monitoring design/construction processes;
Have at least 4 years of work experience in the design / implementation of construction works;
Have knowledge of building permit processes, documentation
t construction and construction materials;
Strong verbal and written communication skills to interact effectively with team members, stakeholders and customers;
Have very good skills to monitor, document, and compile reports efficiently and easily understood;
Have a high level of verbal and written communication in Albanian and English;
Very good knowledge of programs such as WORD, EXCEL, POWERPOINT, AUTOCAD and it is an advantage to have basic knowledge of project management programs such as MS-PROJECT or PRIMAVERA;
Familiarity with project management methodologies, tools and techniques. A basic understanding of project phases, processes and terminology
Ability to manage multiple tasks and priorities simultaneously, ensuring deadlines are met and resources are allocated efficiently.
Ability to work effectively within a team environment, collaborating with team members and stakeholders to achieve project goals.
Willingness to adapt to changing project requirements and circumstances, and ability to provide assistance and input to achieve project objectives.
